Topic: Treasurer’s Report
- Treasurer’s Report – Refer to Attachment A
- Current Total as of November 30th - $ 34,657.05
- Current Total as of December 31st - $ 38,239.39

- As 2009 Budget stands now, there is no money allotted for
tournaments & indoor
- 2009 Fall registration costs - $35.00 per player plus fundraiser

Topic: Registrar’s Report
- All the coaches should have received their rosters by now
- Ken W. will be handing out blank players cards for new players;
must be returned to him by 02/19/09
- There is a mandatory coach’s meeting 02/26 @ Fleetwood HS @ 7:00

- Spring season starts 03/14; season ends 04/26; no games 04/11 and
04/12
Topic: Ways & Means
- The position is still
open; we will continue to look for volunteer’s to fill the position
- The board will move
forward with fundraising ideas until the position can be filled
- A candy sale is
proposed in place of Joe Corbi’s Pizza
- A 2nd
fundraiser was proposed to hold closer to the start of the season for
tournaments & indoor
Topic: Grounds & Equipment
- New Grounds / Equipment
chair’s are Guy M. and Bruce B.
- An inventory was taken
of the equipment shed; still waiting for some coach’s to return equipment
- Rob K. questioned why
grounds & equipment are together as one position now; Guy M. & Bruce B.
explained that they’re combining everything (grounds & equipment
materials) into one shed in order to simplify things
- Guy M. proposed moving U6
& U8 fields to Rockland and the U11 field to the High School
- Rob K. questioned if we
are looking to get out of Longswamp all together; Guy M. explained that
we’re trying to give the baseball fields “a rest”; Bruce B. said fields
will be reviewed on a year-by-year basis
- Guy M. mentioned that the
Topton Borough with the offer of free land from Deka (next to the High
School) approached he and Blane to see if the club could use it; Blane
handed out paperwork with proposed field layout’s for review; waiting to
hear back from the Topton Borough manager; update to follow
- Blane handed out with
proposed field ideas for Hunsicker’s Grove; Rob questioned the printout;
he didn’t feel the picture was correct
Topic: Old Business
- Spring Update – Ken W.
submitted to RBJSL to use the same fields as we did in the Fall; if fields
change, we need to contact Ed Fink
- Relegation went well;
all teams placed into the divisions that we requested
- Indoor Update – Open
gyms are a big hit; averaging 40 to 60 kids
- An e-mail link, toptonsoccerclub@live.com, has
been added to the club’s website to sign up to volunteer, to offer
suggestions, to address issues, or to express complaints

RBJSL Meeting – Blane reviewed RBJSL meeting
summaries – refer to Attachment B

Teams have been created, coach’s can log onto
RBJSL website to view their divisions
o
There is a change that teams may have to play on
both Saturday and Sunday
o
RBJSL suggests that we support other club’s
tournaments
o
It was discussed @ relegation meeting that if
your team wins it’s division, chances are you will be moved up to the next
division
o
Coach’s can request to play @ certain times
and/or certain locations, but there’s no guarantee the request will be honored
- There is a free
Tournament on January 31st @ 422 Sports Complex in
Pottstown. Jason M. and Dave B.
will bring back information on their leagues to compare prices to Body
Zone
- Brief discussion as to
how to handle secondary players; RBJSL states that each club needs to
“police” the situation themselves
- Requests for practice
times and fields for Spring should be submitted to Blane M. as soon as
possible so that paperwork can be submitted to the school
- Longswamp Meeting – Guy M. and Bruce B. report
no meeting in January
- A letter was received
from Longswamp requesting that we remove our equipment from their shed as
soon as possible
- Outstanding Balances -
There is an estimated $ 600.00 owed to the club in past due accounts
- It was proposed to
write off the whole amount due to the time, effort, and costs involved in
trying to re-coop it
- Fall registration will
be done on-line again
- Several dates will be
set-up to come and pay in person
- Financial obligations
(registration fee & fundraiser) must be met by the deadline or you
will not be added to a team
- Registration dates to
be determined
- Non-Profit Status –
Bruce reported that the lawyer found papers that we are already registered
with the state as a non-profit organization; he will investigate further
- Club website – Blane
has done an awesome job updating it!
- Pictures from the
indoor sessions have been added to the website; the lawyer stated that
our photo release form looks good and we can begin to use it
- If you log on and see
old data, let Blane know right away
- There was a discussion
about some of the by-law’s being changed; we will discuss again at
February’s meeting
- Miscellaneous Purchases
were discussed
- Storage bins for each
team (bins will include all supplies, except balls, that a team will
need)
- Bulk number of shirts
from Geist at a discounted price
- Membership determined
that we did not need to take a vote because both items fell under the
club’s equipment budget

telling everyone that new committee’s are forming now; log onto the club’s
website to sign up now
- Guy M. proposed voting on
the swinger sign to be placed at the borough’s parking lot – Approved for
purchase 1st Allan S., 2nd Dan W.
